Job Description

Office Administrator

Office Administrator ensures all support activities are on efficiently and effectively to allow the other operations to function properly

Essential Functions

Coordinates in administrative procedures & systems to devise ways in streamlining processes Ensures office is available for workable conditions at all given times, at par with company standards Reports any deviation in the processes, collects suggestions and ensures employee services presume to normalcy Supervises all office activities, while handling highly sensitive & confidential data Supports all senior level employees, with smooth and adequate flow of information within the company to facilitate other business operations Handle and oversee all travel arrangements and operations, with inputs from Office Manager Other Operational responsibilities include vendor management and cost analysis, coordinating the maintenance of office equipment with EUS and/or vendors, acting as a liaison with facilities, assistance with office space planning, remodels, oversee seating assignments, BCM coordinator, and order and stock consumables (toner, paper, etc.). Negotiate contracts or rates with service providers (Hotels, Travel Operators etc.) Organizing & planning events responsibilities includes liaison with events team on Signature events and coordinate with colleagues on all local events. Manage all sponsored requests and ensure associated benefits are appropriately leveraged, that we have proper representation at the event, and assistance with the coordination of speaker/panel opportunities, whether it be an SVBer or a client. Manage industry event registrations, coordinate catering and consumables and event set up and break down after events

Knowledge

Experience as Office Administrator, with in depth thought of management procedures, company & Government/Regulatory/Departmental Policies. Negotiating skills, Expense Management and Employee Experience.

Skills

Ability to work independently, with tight timelines and manages multiple projects, to meet deadlines

An analytical mind with problem solving skills

Highly organized with excellent communication skills, both oral and written. Leads conversations with confidence with optimal quality

Competencies

Proficient in MS Office & Excel. Thrives to learn and unlearn. An excellent team player.

Education and Experience

Prefer 6+ years of related experience as an administrative professional

Ability to work in a team environment and assist with a variety of tasks, must be able to switch gears according to shifting priorities

Education: Bachelor’s Degree or relevant technical school and two additional years of relevant experience. Additional equivalent years of experience may substitute for education

Certifications

Any relevant Administrative upskilling Certifications
